1. OPENING AND PARTICIPANTS

The virtual steering committee meeting was opened on 28.8.2013 at 14.00 on the Off-the-Records website.
 The meeting was closed 4.9.2013 at 23.59.

2. HELSINKI WORKSHOP 19.–21.8.2013

Explore works and results of the Helsinki Workshop here. Theme of the workshop was digital storytelling with mobile devices (i.a. iPad). On 10.6.2013 the project organized an information and introduction day for the Finnish participants in Annantalo. During the summer, online information and guidelines of devices, applications and ways of realization was distributed to participants in all three countries. Guidelines can be found from Off-the-Records website. International participants registered by the end of June. Completed works can be found from the address offtherecords.metropolia.fi/?page_id=1123. To access the page, a password is required, it is otrhelsinki. Monitoring research and questionnaires of Helsinki workshop will be completed later. The participants’ survey / questionnaire can be found here.

4. THE FINAL SEMINAR 28.11.2013

The final seminar of Off-the Records project will be arranged on 28.11.2013 at 10.00-18.00 in Annantalo, Helsinki. Participants will be invited. The seminar is for max. 60 persons.Key speeches from Stockholm, Tallinn and Helsinki. Keynote speakers: Tomi Kiilakoski Ph.D., Finland and Aleksandrs Aleksandrovs, University of Latvia (researcher of the Off-the-Records project).  Deputy Mayor Ritva Viljanen will open the seminar and hosts an evening reception for participants at the city hall.

I have a question for better planning the final seminar:
1. How many from Kulturskolan do you expect to come? and whom? (E.g. one of the heads, one key teacher and myself?) Or just me?

5. PROJECT BUDGET REALIZATION

On 31.7.2013, 58,3% of all budgeted costs were spent. A summary of costs can be found from OTR_budget_07_2013. NB! The section 6 is also related to the budget and costs.

6. APPLICATION CHANGE: BUDGET AND WORKSHOP PARTICIPANTS

100 % of the budgeted international travel costs have now been spent. Budgeted office and premises costs are almost unused. Off-the-Records will make a budget change application to move office and premises budgets to international travel budget. In addition, in the projects’ action plan, the amount of workshop participants is planned to be 30 persons altogether. After three workshops the amount of participants has been 105 persons. We’ll make a correction to the amount of participants in the action plan change application.

The steering committee approved budget changes.

7. POSSIBLE PROJECT CONTINUATION APPLICATION

There might open a possibility to apply project continuation funding for 2014. Should we apply for it?

The steering committee approved continuation application. Anyway, during the online steering committee meeting, financiers told that there are not funds left for this kind of projects and continuation application can’t be done.

Kulturskolan approves.
Leena mentioned this opportunity, during the last workshop in Helsinki, that we could apply for a project continuation, and we at Kulturskolan think this would be a great idea. This will give us more time for the grand application, as the new program period 2014-202 is not open yet and we dont know eactly the different possibilites. We will also have better time for the details, budget etc. in the application.

9. NEXT STEERING COMMITTEE MEETING

The next steering committee meeting can be arranged in Helsinki on 28.11.2013 (the same day as the final seminar), on the next day 29.11.2013 or as a virtual meeting (date open).

Please leave a comment about the way of realization of the meeting and possible dates. Write your initials in the end of your comment.

Most of the steering committee members preferred 28.11. for the date of the next steering committee meeting.
